Online Reporting FAQ

 
1. Who do we call at school when we have a query or are requesting information?
To help save time and contact the correct department first time here is a guide:

2. What is Qoodle?
Qoodle is our Virtual Learning Environment (VLE). It is based on the Moodle platform that ESF have implemented for each ESF school's VLE.
This is where our students will login and enhance the way they communicate and collaborate with teachers and peers. 
QBS also hosts all photo galleries and video clips here as this is a secure area. We feel, as a school, that it is not appropriate to have photos and videos of students available to the general public.
 
Usernames for Qoodle use the students WebID i.e. 13smitht2, smitht2 etc..
 
Parents do not have a login for Qoodle. All students are required to share their login with their parents only. Using your child's login for Qoodle will allow you to access exactly what your child can access.
 
If your child has any problems logging into Qoodle then please confirm you are using the correct login details. Does your child have a login note on the orange divider in the diary? If there is still an issue then please email the class teacher of the student.
 
3. The Gateway (TG) for Parents
This is ESF's online portal for parents. TG is a modular system. As modules are designed and QBS thinks they will benefit parents we will implement in TG.
Currently parents can:
  • View their childs demographic details.
  • Use the Parent Consult online booking system (when active).
  • View their childs online report in the ARR module.
  • Book activities online (where available)
  • Update personal information using 'Change Request'
 
- Usernames for parents use a QBS family WebID and are based on one per QBS family.
 
- If you have forgotten your login details/password then please use the password retrieval function available on the login screenSee FAQ7 regarding this also.
 
- If you have more than one child attending an QBS school but you only see one child in Gateway, click on the 'Account' link once you have succesfully logged in and activate your other children in there.
 
- For general support on the Parent Gateway please visit our support site. On this site there are some very helpful video guides that will take you through some specific features of the Gateway.

4. QBS Student email accounts
This is part of 'Google Apps' which we have subscribed to which handles the students emails. Students can only access their account through Qoodle.
 
5. The QBS Calendar
The school calendar is available on the front page of our homepage.
It is also available in Gateway. To ensure you have the most up-to-date details on your Gateway calendar please visit the iCalendar page by clicking the iCalendar link on the Gateway homepage after logging in. Once there you can 'Synchronise' your calendar by clicking the small icon next to the QBS calendar tab.
 
6. Where are the Staff contacts?
For general school staff contacts these can be viewed on our Contact Us page.
 
Staff contacts? You can login to Gateway and view a PDF list under 'Documents>School Documents' or login to Qoodle using your child's login and visit the 'Parent Information' page.
We make the staff emails available in both Gateway and Qoodle as they are both password protected sites.
 
7. Not receiving emails from QBS i.e. eNewsletter etc...? 
We occasionally get feedback from parents saying that they have stopped receiving the eNewsletter or that they do not receive anything at all from QBS via email.
The first step is to confirm we have the correct email address in our database (login to Gateway and check under Admin>Student Demographics).
But quite often this is caused by the email client being used by the recipient blocking our email address(es). The easiest way to solve this is to add the email addresses we use to your 'Safe Sender/White List'. Each email client handles this differently and probably labels this differently but the most common solution is just to add them into your contact list.
 
Here is a list of our email addresses to add:
     newsletter@qbs.edu.hk - allows the eNewsletter to be received
     office@qbs.edu.hk - for general office notifications
     pta@qbs.edu.hk - PTA notifications
     gateway@qbs.edu.hk - allows password reset notification emails from Gateway
 
If you have changed your email address then please login to Gateway and go to Admin>Change Request to submit an update request. The request will be verified by our office staff and the changes reflected in your account within 2 days.
  
8. We have changed our details i.e. address, phone number, email etc...?
If you have changed any details or you notice any errors/out-of-date information on Gateway regarding your childs demographics, please login to Gateway and go to Admin>Change Request to submit an update request. The request will be verified by our office staff and the changes reflected in your account within 2 days.
 
All our systems and practices rely on the correct information so, again, please keep your details up-to-date.
 
9. Big Universe
BigUniverse.com is an engaging online reading and writing community that QBS subscribes to as a school so all students have a login to access this great resource.
Students should have their login details on the orange divider in their diary. If not, please ask your child or email their teacher.
 
10. Online Transfer Application For Year 7
If your child is already enroled in QBS and will be transferring to Year 7 at an ESF school then parents should login to Gateway and submit an 'Admin>Change Request'.
 
Please Note: Once you have checked and submitted the first page you need to scroll down and 'Confirm' the second 'Confirmation' page.
 
The period for submission will be from the start of the new school year until 22nd September.

11. Clubs

We receive lots of calls regarding clubs. Most information on clubs can be found on our Club page and also in the Club Online Brochure. Please take some time to read through this information.
 
12. We would like to withdraw our child from QBS
Please complete and return the Withdrawal Notice form which is available for download in the Documents>School Documents section on Gateway. Complete and return the form to the QBS front office at least 1 month in advance of the leaving date.
 
 
 
 
 
Online Reporting FAQ
Due to our student reports being available online on The Gateway we have addressed some common questions below that were recently raised through parent feedback...
 
i. "I want a hard copy of my child's report"
ii. "I need a signed copy of my child's report for an application to another school abroad"
iii. "What subjects are reported on in which term?"
iv. "How do I view historical reports?"
v. "How long are reports archived for on the Gateway?"
 
i. "I want a hard copy of my child's report"
We will not be sending hard copies of reports. We teach the students to be more responsible with regards to the environment so we feel, as a whole school, that we also have to embrace these principals. So all reports are available online on The Gateway.
 
One question you need to address is "Why do I need a hard copy?" If it is for storing in a file then a softcopy filed on your PC is probably a better option. Another option is to keep your softcopy in the 'The Cloud'. Examples of this are Google Docs, Dropbox, Microsoft Skydrive and there are many more examples. You will  need to download a PDF copy of the report to allow you to save to your PC or upload to 'The Cloud'.....
 
To access a PDF version login to Gateway and go to ARR>ARR Report.
In there you will see the 'Printing' tab (do not use the 'Print' icon on the subject screen as this is just a screen print). Click this tab and then fill out the correct details. In here you can select what term you would like to print by using the appropriate print template.
Depending on your browser, when you select print it should either offer you to open or save a PDF version OR it will automatically open a window showing the PDF copy. You should then have the option to print and/or save from there.

ii. "I need a signed copy of my child's report for an application to another school abroad"
As our reports are online they will not be signed by a member of our Learning & Management Team (LMT) for verification. If you require the termly reports to be verified then please print a copy of the report and bring it into school for signing.
 
iii. "What subjects are reported on in which term?"
The Unit of Inquiry subject is the only subject that is reported on in Term 1 and Term 2. The Term 3 report will again have the Unit of Inquiry subject but also Maths, English, Music, P.E. and Chinese subjects.
  
iv. "How do I view historical reports"
Login to Gateway and go to the ARR section. Choose any subject and it should default to 'All Terms' in the current year. If not then past terms can be selected using the drop-down menus [ view screenshot ].
 
v. "How long are reports archived for on Gateway?"
All QBS reports will be archived on Gateway (starting from school year 2010~11). Just select the required school year in the drop down menu on the subject report page. You can also select the year required in the 'Printing' tab. If your child attends QBS throughout primary (starting 2010-11 onwards) then they will have 6yrs of reports available.
 
vi. "What happens to reports when my child leaves QBS?"
At 8pm on your child's exit date parental access to Gateway will be stopped. We therefore recommend that, if you haven't already done so, you save all reports needed in PDF format before this deadline. See question ' i '. However, staff will still have access to these reports upon request.
